What Are Cookies?

Cookies are small text files stored on your device by a website when you visit it. They help the website remember your preferences and session state across page loads. Some cookies are essential for the site to function; others are used for analytics or marketing purposes.

Cookies We Use

We keep our cookie usage minimal. Here is exactly what we set:

Session and Authentication Cookies

Strictly Necessary

Set when you sign in to the platform. These cookies maintain your authenticated session and prevent you from having to log in on every page. They expire when you sign out or after a period of inactivity. Without these cookies the platform cannot function.

Support Chat Cookies (Chatbase)

Functional

When you open the support chat widget on our website, our support chat provider (Chatbase, Inc.) sets cookies to maintain conversation continuity and prevent duplicate chat sessions. These are third party cookies scoped to the chat widget only. They do not track you across other websites.

IP address processing: Chatbase also processes your IP address to deliver the chat widget, prevent abuse, and maintain conversation state. Under GDPR, an IP address is considered personal data. Chatbase processes IP addresses in the United States under Standard Contractual Clauses (EC Decision 2021/914, Module 2). For details, see Chatbase's privacy policy at chatbase.co/legal/privacy. You can decline these cookies via our cookie banner, in which case the support chat widget will not load and no IP address will be sent to Chatbase.

What We Do Not Use

  • Advertising or retargeting cookies
  • Cross site tracking cookies
  • Third party analytics cookies (e.g. Google Analytics)
  • Social media tracking pixels
  • Fingerprinting or device identification scripts

Any aggregated usage analytics we collect are processed server side and do not rely on client side tracking cookies.

How We Record Your Consent

When you accept or decline cookies via our banner, your preference is stored in two places. First, it is saved locally in your browser under the localStorage key cookie_consent, which is what the site reads on subsequent page loads to remember your choice. Second, the consent event itself (the choice made, a consent-version string, the page URL, and the two-letter country code derived from your IP by Cloudflare) is sent to our Worker at app.usevela.io/api/cookie-consent and written to an anonymous audit log retained for up to three years for GDPR Article 7(1) demonstrability.

We do not store your IP address itself, your name, your email, or any identifier that would let us link the log row back to you. If you require evidence of a specific consent decision (for example, for a regulatory enquiry), please contact privacy@usevela.io with the approximate date and time and we will retrieve the matching log entries.

Managing Cookies

You can control and delete cookies through your browser settings. Note that disabling strictly necessary cookies will prevent you from signing in to the platform. The support chat cookies can be blocked by disabling third party cookies in your browser without affecting platform functionality.

If we introduce new cookie types in the future, we will update this policy and notify you via email or in platform notice before the change takes effect.
